How to Allocate Payroll to Properties in RealPage

Payroll allocation charges site staff wages, employer payroll taxes and benefits to the properties those people serve, either by direct time worked or by an approved basis such as unit count. In RealPage it ends as a balanced journal entry imported into the General Ledger, one set of lines per property and payroll category.

    Use Save all attachments and choose the current month's payroll import directory. Confirm the number of files saved matches what the email says it contains, then mark the message In Progress (or move it to Processing) so nobody else picks it up.

    Calculate property allocations

    Apply the approved allocation rules and click Calculate Allocations. Check that each property uses the right basis (direct time, unit count or shared staff), that the percentages total 100% and that allocated payroll equals the control total to the cent.

    Once the journal validates, click Generate CSV to produce the import file. Keep the file name tied to the pay period so it can be traced back to the source payroll.

    Go to General Ledger > Import Journal Entries, select the CSV, preview the lines and click Run Pre-Import Validation. Review the checks for active properties and accounts, open period, duplicate batch and required fields before going further.

Rules, exceptions and controls

Rules to follow

  • Each property uses its approved basis (direct time + units, unit count or shared staff) from the current rules version (2026.10 in the recording).
  • Direct employee time overrides the unit-count formula; shared payroll uses the approved portfolio basis.
  • Property percentages must total 100% and allocated payroll must equal the source control total.
  • Debits must equal credits, and every property ID and GL account must be active.
  • The accounting period must be open and the batch ID must not already exist.
  • Nothing posts without controller approval.

When something doesn't match

  • Pre-import validation fails (unmapped account, inactive property, closed period, duplicate batch) — a pending/error list is emailed and the allocation stays pending.
  • Controller rejects the batch — nothing posts and the pending/error list is sent.
  • Charges a management agreement does not allow — held for the controller rather than allocated.

Controls and audit trail

  • Attachment count checked against the email's control record.
  • Source control total reconciled to the allocation and to the journal.
  • Pre-import validation with file checksum before any posting.
  • Controller approval separates preparation from posting.
  • Posting confirmation PDF, completion email and archived source email retained as the audit trail.

Practitioner tips

  • Tie allocated totals back to the payroll register before importing; a one-cent rounding gap is easier to fix in the allocation than after posting.
  • Mark the source email In Progress the moment you start so a second person does not process the same pay period.
  • Keep the rules version on the allocation so a later review can see which percentages were in force.
  • Check each management agreement for what payroll can be charged to the property; hold anything it does not allow for the controller.
